Before this platform existed, the sales team at Pazcare was running their entire quote generation process on Excel. Each quote took anywhere from 40 to 50 minutes to put together, deal tracking lived in a completely separate tool, and the two never really talked to each other. It was a workflow held together by habit and patience, and it was costing the team real time on every single deal. This project started with spotting that problem, and ended with building something the team now uses every day.

The project started from scratch and I owned it end to end. After identifying the problem through conversations with the sales team, I pitched the idea to the product team and management and backed it with a detailed documentation covering the problem, the scope, and the opportunity. Once approved, I went back to the sales team for a deeper round of interviews, this time focused on understanding every step of their process in detail, where time was being lost, what information they needed at each stage, and what a better version of this workflow could actually look like. That research shaped the first version of the platform, which took about one and a half months to design and then went through internal testing.

Testing surfaced a range of edge cases that the initial version had not fully accounted for. Rather than patch them, we used that feedback to build Version 2, which addressed the gaps properly and refined the experience across the board. The platform now handles the full quote lifecycle in one place: generating quotes for clients, saving and managing deals at every stage, and sharing quotes directly with clients. It also connects to HubSpot, so the sales team can track deal status without ever switching tabs. The Excel sheets are gone, and so is the friction that came with them.

The platform is live and in active daily use by the sales team. Quote generation time dropped from 40 to 50 minutes down to 5 to 10 minutes, an 80% reduction that adds up fast across hundreds of deals. Beyond speed, the team now has a single place to generate quotes, manage client deals across every stage, share quotes directly with clients, and track deal status through the HubSpot integration. What used to be a scattered process across two tools and a spreadsheet is now one coherent workflow. The improvement was not just in time saved but in how much cleaner and more confident the sales process feels on both sides of the deal.
